Your Digital Agency team must have strong processes in order to be successful

Over the past 5 years I have had the pleasure to work with over 400+ Digital Marketing Agencies around the world and the common theme among the successful ones is having solid processes and procedures in place.

Many agencies were born because the owner wanted to do creative marketing campaigns for clients or build beautiful websites for companies yet the reality of running a profitable business comes down to the systems and routines that are done on a daily/weekly and monthly basis.

Improve internal control
You need to know your data in order to manage things better in your agency, how many hours do your account managers work with clients? How many days does it take from the start of a website to the completion of one. If you know these numbers this will help create a culture where everyone is aware of what to do and what is going on.

By having a well-documented process, as well as the procedures in it, you will be able to provide your employees with guidelines for daily operations and activities, expectations and routines.

In addition your training of employees will become faster with standard processes and procedures in place. There will be less Interruptions of questions, delays and queries.

Templates are a great way for standard operating processes and procedures to be defined and replicated, your current staff members could be encouraged to create how to videos for each task they perform and have a library of these for new hires and reference material.

Processes and policies must be set up to help you with compliance
Laws and regulations - for example, the new GDPR that will take effect in May - need to be adhered to and your staff need to know the processes that your agency has to completed in order to be compliant.

If the right processes are in place they will let everyone in your agency in on the exact way you do things, and your customers too, so there are no misunderstandings or vital mistakes made. You can avoid costly fines by doing the right thing and setting up the procedures.

Compliance also ensures efficiency because the likelihood of something having to be done over again reduces accordingly. Also, when you do work for other clients, the least they expect is the work to be in compliance with laws and regulations. You are not re-inventing the wheel again, and would you expect anything less from someone doing work for your agency?

Make sure your processes are set up to help you meet your operational needs.
You really can’t meet your goals if your processes and procedures don’t allow for it to happen.

Agility in the process and hence the ability to change with the needs of your customers or the changes in the industry is seriously something you should strive for. In these ever-changing digital times, the ability to adapt will essentially mean life or death for an agency.

If a customer needs something to be done a certain way, don’t do it if you can’t do it correctly, or if it even means altering with your operational needs or way to do things. If your team needs to achieve something, you need to give them the means to do so - else you are doomed to fail.
